Club Essenza will endeavour to communicate all event dates and details to members simultaneously. All bookings are allocated on a strictly first-come, first-served basis in accordance with Club Essenza booking procedures.
We are unable to hold or provisionally reserve spaces without confirmation.
Availability will be communicated as promptly as possible following your request.
Booking confirmations will be issued via email once your place is secured.
Club Essenza maintains an individual member portfolio where all bookings are recorded. Members may request an overview of their portfolio at any time.
Once an event reaches capacity, a waiting list will be created. Spaces will be offered should cancellations arise or additional availability be released.
Where possible, Club Essenza will endeavour to accommodate demand, including arranging repeat or additional event dates.
Club Essenza cannot be held responsible for technical issues outside of our control that may affect communications, bookings, or calendar access.
This includes any disruption caused by misuse or unlawful interference with our digital platforms.
Payments & Refunds
Full payment is required at the time of booking unless otherwise specified.
All payments are non-refundable unless stated otherwise within the specific event details.
Where a refund is applicable, this will be processed within a reasonable timeframe following confirmation.
If a member cancels within any stated cancellation window for a specific event, refunds (if applicable) will be issued in accordance with that event’s individual policy.
Club Essenza reserves the right to retain payments where cancellation falls outside of the permitted timeframe due to committed costs and event planning obligations.
Cancellations
Members must notify Club Essenza of any cancellations at the earliest possible opportunity.
Due to the planning and exclusive nature of our events, we are often required to confirm final numbers in advance.
In the event of cancellation beyond our control, members will be offered either:
A full refund, or
Priority access to a rescheduled event.
Individual events or venues may operate their own cancellation policies, which will be communicated in advance.
Club Essenza is not liable for cancellations or changes caused by circumstances beyond our control, including those affecting partner venues or suppliers.
No-Show Policy
A “no-show” is defined as a confirmed booking where the member (and/or their guest) fails to attend without prior notice.
In the event of a no-show, Club Essenza reserves the right to:
Retain the full event fee, and/or
Apply an additional no-show charge where applicable.
Repeated no-shows may result in restricted access to future events or booking privileges.
This policy is necessary to ensure fairness to other members and to protect the integrity and planning of Club Essenza events.
Guests
Guest attendance is permitted at selected events only and is subject to availability. Where guests are allowed, this will be clearly stated in the event details.
Members wishing to invite a guest must notify Club Essenza at the time of booking. All guests will be charged at the applicable non-member rate.
Full guest details, including any dietary requirements, must be provided at least 14 days prior to the event. While we will always aim to accommodate late requests, this cannot be guaranteed.
Some events may allow more than one guest per member; this will be communicated on an event-by-event basis. Members are also welcome to submit individual requests, which we will endeavour to accommodate where possible.
For special occasions or bespoke arrangements, Club Essenza is happy to work with members to facilitate additional guests, subject to availability and event format.
Members are fully responsible for the conduct and behaviour of their guests at all times.
All guests must be accompanied by the hosting member throughout the event. If the member departs, their guest(s) must also leave.
Dress Code & Conduct
Club Essenza maintains a refined and elevated environment. Members and guests are expected to present themselves in a manner consistent with the tone and standard of each event.
Where applicable, specific dress codes will be communicated in advance and must be adhered to.
Club Essenza reserves the right to refuse entry to any individual whose attire or behaviour is deemed inappropriate.
Members and guests are expected to behave respectfully towards staff, venues, and fellow attendees at all times.
Any behaviour deemed disruptive, inappropriate, or damaging to the Club Essenza brand or experience may result in removal from the event and/or suspension of future booking privileges.
Right of Refusal & Discretion
Club Essenza operates as a private members’ environment and reserves the right, at its sole discretion, to refuse or withdraw access to any event, booking, or service.
This includes the right to decline bookings, guest attendance, or entry to events where it is deemed in the best interest of the Club, its members, or its partners.
Club Essenza may, at its discretion, suspend or restrict a member’s access to events or services where there has been a breach of these Terms & Conditions, inappropriate conduct, or behaviour inconsistent with the Club’s values.
Decisions made under this clause are final and are exercised to maintain the quality, integrity, and experience of Club Essenza.
Liability
Club Essenza operates in accordance with applicable laws, and any interpretation of these Terms & Conditions shall be subject to the jurisdiction of the relevant courts.
All content, communications, and materials produced by Club Essenza are protected by copyright and may not be reproduced without prior written consent.
Members and their guests are responsible for complying with all venue rules, including health, safety, and security requirements.
Club Essenza accepts no liability for injury, loss, or damage resulting from:
The actions of members or their guests, or Circumstances beyond our reasonable control.
